Traceability is more than printing a barcode. The system must connect each physical object with the digital events that occur throughout its lifecycle.

Warehouse identifiers may include supplier lot, internal material ID, serial number, pallet ID, carton ID, locator, and shipment ID. Their relationships must support both backward and forward tracing.

  • Identify: parts, lots, serials, locations, parties, handling units, and shipments.
  • Capture: receiving, inspection, putaway, transfer, count, pick, pack, and ship.
  • Share: status, quantity, event time, user, source document, and relationships.

Events that should be recorded

GS1 uses the concepts of Critical Tracking Events and Key Data Elements. Internally, these principles become a consistent catalogue of events and required fields.

Status and quantity are first-class data

One lot may hold quantities across several statuses and locations. If the system keeps only one stock number, teams will create side spreadsheets or move material without transactions.

A useful quantity model separates on-hand, available, allocated, held, damaged, in-transit, and shipped stock. Split lots should retain their parent–child relationship.

PRACTICAL NOTE

Practical rule: every physical move that changes ownership, location, status, or quantity should create a digital event.

Original example: recalling one supplier lot

A supplier reports that lot RM-240731-A must be contained. The system should identify every internal ID created from it, current locators, consumed quantity, related work orders, resulting finished goods, and potentially affected shipments.

Backward trace answers “where did this material come from?”. Forward trace answers “where has it been used or shipped?”. Neither should require manually merging multiple files.

What makes an audit trail trustworthy?

An audit trail should be functionally immutable: corrections are new transactions rather than deleted history. Store server timestamp, user, role, device or source, before/after values, and reason.

Use cycle counting and reconciliation to find gaps between physical stock and digital events. Traceability that is never tested often fails when it is actually needed.
